Goldmine 2012 to Act! Cloud

Company X provides expert advice to individuals and families in need of care.
For over 10 years they had been using Goldmine 2012, with a user base numbering 30, to record information pertaining to those in need of care, their family, and the organisations that provide care services.

These users are a mixture of office based and, mainly, 'remote' workers.
The database was stored on a server located within the Surrey head office. Remote users accessed the database via a VPN using 2 0r 3 'slave' pc's for the purpose. Office based users are connected via the local area network (LAN).
This configuration proved to be fraught with challenges, affecting continuity, access times, and productivity.

After an online webinar and demo, Company X engaged our services to migrate the Goldmine database to Act! Premium Cloud (now Act! Advantage)

The Challenges

Company X needed to move their Goldmine 2012 database to a cloud based solution, facilitating online access to a single source of data for 30 users.
Along with the core Contact data, the Notes, Histories, and Diary data also needed to be ported to a new system.
There was also a requirement for significant database design amendments to incorporate new and enhanced pockets of data, as well as provide a core Act! framework for data entry and activity management.
User training was required to cover off the core Act! functionality, and to demonstrate their workflow through specific data entry processes.


The Solution

The project started with a System Study session, the aims of which are 

  • Discuss in detail and document the database design and deployment  requirements
  • Establish the reporting you want to do from Act! This will have a direct bearing on the final design of the Act! database.
  • Decide the level, content and delivery of user training.
  • Establish roles and responsibilities to ensure everyone plays their part to make the project a success.

After the Study session, we had gathered all the information we needed to build the customised database and publish it online.

The existing Goldmine data was conditioned and migrated to Act - including Notes, Histories and Diary entries.

Training was delivered to the primary users of the system across two sessions, focusing not just on the knowledge required to effectively use Act!, but also on the processes highlighted during the system definition day.
